POSITION:             Account Clerk I

DEPARTMENT:      Finance

REPORTS TO:       Chief Financial Officer

SALARY:                Unit IV Salary Schedule Grade 5 (12 Months)

 

 

OVERVIEW OF POSITION: The Account Clerk I is responsible for accounts payable and other financial duties for the Allegany County Board of Education as assigned.

 

QUALIFICATIONS: Applicant should possess the following skills, knowledge and abilities in order to meet the minimum requirements for this position:

  • High school graduate
  • Minimum of two years’ experience in a business office environment / clerical position.
  • Must have a working knowledge of clerical methods used in maintaining fiscal accounts and records, and of office terminology, routine procedures, and equipment
  • Must comprehend and carry out oral and written instructions and accurately maintain records and files
  • Must possess good verbal and written communication skills with the ability to effectively communicate within all levels of the organization.
  • Must have a working knowledge of internal controls
  • Should be proficient in windows-based computer programs including word processing and spreadsheets.
  • Must possess high degree of proficiency and accuracy in 10 key number pad applications.
  • Must take and pass clerical test administered by the Allegany County Board of Education (or have taken and passed the test within the last 2 years)
  • Must fully grasp and understand the logic of how financial accounting software functions
  • Ability to plan, organize, prioritize, and coordinate multiple tasks
  • Ability to work independently, as well as cooperatively
  • Demonstrated ability to problem solve and troubleshoot issues
  • Must be able to work accurately, be self-motivated, and possess a strong work ethic.
  • Must be capable of performing the essential duties of the position with or without reasonable accommodations.

ESSENTIAL JOB FUNCTIONS:

  • Process vendor payments in an accurate, efficient, and timely manner in accordance with policies and procedures.
  • Maintain vendor payment details in finance software electronically.
  • Maintain, monitor, and track expenditures by account for internal and external customers.
  • Open and answer routine mail without need of supervision and process other mail
  • Answer telephone, general inquiries, receive messages and direct questions to proper person in a timely manner
  • Communicate and work collaboratively with internal staff and representatives from outside agencies.
  • Maintain strict confidentiality of financial records
  • Perform other duties as assigned by immediate supervisor
  • Perform typing assignments and answer correspondence as assigned by the supervisor(s)
  • Represent school system adequately in public contacts
  • Accurately maintains records and documents and prioritizes meeting deadlines

 

PHYSICAL REQUIREMENTS:

  • Physical requirements of this position include the following: While performing the duties of this job, the employee is required to have ordinary ambulatory skills sufficient to visit other locations; and the ability to stand, walk, stoop, kneel, crouch, and manipulate (lift, carry, move) light to medium weights of 10-50 pounds. Requires good hand-eye coordination, arm, hand, and finger dexterity, including the ability to grasp, and visual acuity to use a keyboard. The employee frequently is required to sit, reach with hands and arms, talk and hear.
